2. What PrintSift does

PrintSift helps businesses understand copier, managed print, equipment lease and related commercial agreements.

When you upload a contract, PrintSift extracts text from the document, identifies relevant commercial terms and presents the resulting analysis with supporting source evidence.

3. Information we may process

Depending on how you use PrintSift, we may process:

  • the content of contracts you upload;
  • commercial information extracted from those contracts;
  • supplier and customer names contained in agreements;
  • contract pricing, dates, notice periods and other terms;
  • print-volume figures you enter;
  • your company name, name, email address, telephone number and postcode if you submit a comparison request;
  • your comparison preferences and intended timing;
  • technical information needed to operate, protect and diagnose the service.

4. How we use your information

We use information to:

  • provide the contract analysis you request;
  • calculate contract costs using information you provide;
  • display supporting evidence for extracted terms;
  • respond to comparison requests;
  • operate, secure and troubleshoot PrintSift;
  • comply with applicable legal obligations.

5. Our lawful bases

Depending on the processing involved, we may rely on legitimate interests where necessary to operate and provide PrintSift and where those interests are not overridden by your rights.

Where you submit a comparison request and actively ask PrintSift to contact you about it, we rely on the consent you provide for that contact.

We may also process information where necessary to comply with a legal obligation.

6. Automated contract analysis and OpenAI

PrintSift uses automated technology to analyse contract text. Relevant contract content may be sent to OpenAI through its API so that commercial terms can be identified and structured.

OpenAI states that data submitted through its API is not used to train its models by default. Depending on the applicable API configuration, content may be retained for limited periods for abuse monitoring, security and service operation.

Automated extraction can make mistakes. PrintSift therefore provides source evidence where available so that important findings can be checked against the original agreement.

7. Your uploaded contract

PrintSift does not intentionally retain the original uploaded PDF after the analysis request has been completed.

Information derived from a contract may be processed or temporarily retained where necessary to provide, secure or troubleshoot the service.

8. Comparison requests

If you submit a comparison request, PrintSift stores the contact information and commercial details needed to review and respond to that request.

We will not send your contact details to a print supplier as part of the current comparison process unless you are first told who will receive them and you approve that sharing.

9. Service providers

We may use third-party providers to operate PrintSift, including hosting, infrastructure, email and automated contract-analysis providers.

These providers may process information on our behalf where necessary to provide their services.

10. International processing

Some technology providers used by PrintSift may process information outside the United Kingdom.

Where data protection law requires safeguards for an international transfer, we take steps to use an appropriate legal mechanism or provider safeguards.

11. How long we keep information

We keep personal information only for as long as it is reasonably required for the purpose for which it was collected.

For comparison requests, this means retaining the information while the request is active and for as long as reasonably necessary afterwards for follow-up, record-keeping, security, legal or dispute-resolution purposes.

We periodically review information and delete or anonymise information that is no longer required.

12. Your rights

Depending on the circumstances and the lawful basis involved, UK data protection law may give you rights including:

  • access to your personal information;
  • correction of inaccurate information;
  • erasure of information in certain circumstances;
  • restriction of processing;
  • objection to processing;
  • data portability in certain circumstances;
  • withdrawal of consent where consent is relied upon.

If you have concerns about how PrintSift handles personal information, please contact us first so we can investigate.

You may also have the right to complain to the UK Information Commissioner's Office.

14. Changes to this policy

We may update this Privacy Policy as PrintSift develops, including where our suppliers, processing activities or comparison service change.
